  Trigger a rule when item stock reaches minimum quantity or zero

Support has been added in R2, to send an alert to the Inventory Manager, whenever the stock of any Product reaches the set minimum quantity threshold so that stock can be replenished through procurements.

  • Inventory Managers can set minimum quantity threshold for every Item in Item Edit Window. [Example: Prerequisite #1]

  • This feature works ONLY with a scheduler configured for the defined rule.

A new button ‘Scheduler’ has been added on the Rule Edit Window that defines the frequency in which the system has to verify the conditions of the rules and trigger an alert if satisfied.

Functionality Covered:

  1. Users can create a rule to compare the current stock at each site with the Minimum Quantity defined for every product separately.

  2. Whenever an item’s availability hits the threshold of Minimum Quantity, the defined recipients are alerted with an email.

  3. The email alert also mentions the Site Information, at which the specific item has reached the threshold limit.

Pre-requisites #1: Products defined with Minimum quantity that defines the threshold level at which alert to be triggered

In R2Core module, define the Minimum Quantity for the Items for which you expect the system to trigger an alert.

To define the Minimum Quantity for any item, do the following steps:

  • R2Core > Maintenance Module > Search Item.> Item Edit Screen > All Site Details > Specify the Min Qty for the item.

Prerequisite #2: Rules configured in R2 BI module to trigger alert when Items stock goes below minimum quantity set

The rule that triggers the alert should be pre-configured in the system as below:

  1. Got to R2Labor > Main Menu > Manage > Rules > Create.

  2. Select a Data Source [Inventory Master], Action [Notification], and Category [Misc.] using the respective drop-down list.

  3. Select the checkboxes – ‘Deliver on Desktop’, ‘Deliver on Email’, and ‘Active’.

  1. Click Add Condition. In the Conditions Window, select the relevant Data Source Description.

  2. Add the applicable values for Fields, Criteria and Compare Value for the rule.

  1. From the Conditions list, select the relevant Data Source Description.

  1. Add the applicable Fields, Criteria and Comparison Value for the rule.

  2. Select the checkboxes – ‘Deliver on Desktop’, ‘Deliver on Email’, and ‘Active’.

  3. Add the relevant recipient for the email/alert to be sent.

  4. Configure the alert message/email using the proper template.

  1. Save the Rule, by giving it a proper identifiable name.

Sample workflow

  1. Create a new inventory of a sale item with quantity as 100.

  2. Define minimum quantity as 11.

  3. Create a Sale Order and reserve 91 quantity of the newly created item.

  4. Fill and ship the reserved quantity and exit.

  5. Verify the mailbox of the recipient set in the rule configured in the prerequisite#2.

  6. Since the above steps will full fil the condition of the rule defined in prerequisite#2 (Total Quantity < Minimum Quantity), it will get triggered automatically as per the frequency on the schedule tagged to the rule and the mentioned email will be sent to the configured recipients.
