Weblinks

Business is all about Contracts, Guidelines, Compliances, and communicating with Employees, Stakeholders, and Vendors etc. about it. Most of this is done by exchanging or sharing documents.

So, we heard you predicament and introduced ‘Shareable’ Weblinks in R2Labor (which are also viewable within R2).

  • A new tab called ‘Weblinks’ has been provided in R2Labor> Planning Order.

  • This tab has 3 fields, as explained in the table below.

How to use the ‘Shareable’ Weblinks?

  1. To open a link, just mouse-hover on it and Click.

    1. The weblink would open in a new tab.

  2. The Weblinks are by default listed in alphabetical order of the name.

    1. Though you can switch to a different sort criteria. Such as Chronology of added/modified date.

  3. If Weblink has a downloadable file, the downloaded file will be in the path in which the browser is configured and the popup is completely depended on the settings of the browser.

    1. Files such as Word, PPT, XLS, and PDF will open in the default application as configured in the browser.

You will be able to add/edit/remove the URLs or Filepath for documents/files needed for the Order.

  • The URL or Filepath can be either of the following type:

    • Http:// or a Https:// link

      • Such as OneDrive, DropBox, or Google Drive etc.

    • Ftp link.

    • Shared folder on a RDP accessible computer.

Sync between R2Labor and R2.

  • Once a Weblink is created within R2Labor, it will be viewable in R2 > Labor tab > Labor Comments> Weblinks.

  • Subsequently all modifications done to it will auto-sync to R2 as well

  • You can mark some of these weblinks as shareable.

    • Weblinks added from R2 Labor will always be set as not shareable by default.

    • Once marked as ‘Shareable’, you can send it to the resources assigned on the order.

      • You can send the ‘Shareable’ Weblinks through Email communications such as Confirmation Request, Availability Request, Send Message and Job Information Request

        • For this a hashtag named ##WEBLINKS## has been created.

          • Thus when the ‘Shareable’ checkbox is selected in Planning Order > Weblinks, and the above hashtag is included in the email templates, then the email would list the selected weblinks in a bullet list.

As we know, there are multiple access points in R2Labor to send the email communications. So, irrespective of the access point, the applicable weblinks can be sent in the emails.

We have provide a new flag (column) named ‘Shareable’ in R2 Order > Information tab > Labor Comments.

  • It displays a checkbox (as selected) for the weblinks marked as ‘Shareable’ from within R2 Labor.

  • On the R2 Side, the 'Shareable' column will be a read-only field.

  • Weblinks added from R2 will always be set as ‘Non-shareable’ by default.

Until this feature was introduced, the documents attached to an Order in R2 were not visible in R2Labor.

So, if a Labor Planner, Project Coordinator, or a Project Manager wanted to share the documents with a Booking Line resource, they would have manually send the files through email communications. However, there was no repository in R2Labor for these documents.

And since, most business prefer using centralized (read: Internet Accessible) repository to share the documents/files to resources sharing them as ‘Weblinks’ become a need of the hour.

So, we improvised and introduced a way to include and save ‘Weblinks’ at Order and Booking Line level in R2Labor. Also, make it shareable with the concerned resource and viewable in R2 Core.
