Communicate in Multiple Languages

The email from White Board and Planning Order of R2 Labor can now be sent in multiple languages.

Prerequisites

  1. Select Settings > Web Labor Settings > Configuration > Email Templates > Booking Line Availability Request.

  2. Click the Create button. The Create Template panel is displayed.

  3. Create a Template with the Name [Booking Line Availability Request].

  4. Enter the Subject [Booking Line Availability Request] and do not select any Language from the Language drop-down. The Template will be displayed as No Language Defined.

The Template with No Language Defined is mandatory for all the Crew with no language defined. 

  1. Select the Default check box for the No Language Defined template.

  2. Define the Email Template contents in the text area by entering a message/selecting tags from the Select Tag field.

  3. Format the text using the format tools present above the text area.

  4. Click Apply.

  5. Click the Add icon to tag a language. The Edit Template panel is displayed.

  6. Enter the Subject [Booking Line Availability Request] and select the Language drop-down as Chinese.

  7. Define the Email Template contents in the text area by entering a message/selecting tags from the Select Tag field.

  8. Similarly, create the templates for the Languages [French] and [Spanish].

  9. Click Apply. The Template [Booking Line Availability Request] with the defined Languages [Chinese], [French], and [Spanish] displays, as shown in Figure 1.0.

Sample workflow

  1. Select the Planning >  Crew.

  2. Select the Labor Resource [Freddy King] and click the Edit button.

  3. Select the Personal Information accordion > select the Language drop-down as Chinese, as shown in Figure 2.0.

  4. Click Apply to apply the changes to the Labor Resource [Freddy King].

  1. Select Sales > Orders.

  2. Create an Order.

  3. Add the Labor Position [Camera Utility] and assign the Resource [Freddy King].

  4. Select the Labor Position line and click the Send Availability Request icon. The Send Availability Panel is displayed.

  5. Select the Template Name drop-down as Booking Availability Request. The Chinese Template is displayed, as shown in the Figure 2.1.

  1. Click the Send icon. The system displays a message "Email scheduled will be delivered on Save"

  2. Save the Planning Order. The system displays the message "Data updated successfully"

  3. Exit the Planning Order.

  4. The Booking Availability Request is sent to the Resource [Freddy King] in English. The Resource [Freddy King] will receive an email in Chinese language and a Message in the Dashboard for the availability request.

  5. When the Resource [Freddy King] clicks on "I am Available" link, the system navigates to the Response window displaying the message "Thank you  for your response_Chinese" in Chinese language, as shown in Figure 2.2.

  1. The message towards the right-side "R2-01682:For further clarification contact R2 Planning Team" is derived from the R2 application > Maintenance module > Multi-Language Messages icon > Multi-Language Captions window, as shown in Figure 2.3.

 The recipient receives the email and message as defined for the recipient's native language in the Settings > Web Labor Settings > Configuration > Email Templates > Booking Line Availability Request > Booking Line Availability Request Template.

  • If no language is defined for the recipient or no template matching the recipient's language is available, then the template with No Language Defined is considered while sending the request and the same is delivered. 

  1. In multiple language support, you can send the Availability Request to multiple Crew comprising of different languages at a time and send an email to each crew member or resource in their defined languages.
