Option to include order info captured in Order UDFs on order related e-mail in notifications.

The Order Info captured in Order UDFs can be included on Order related E-mail notifications sent out through R2 Labor, enhancing the ability to keep the recipient informed about additional order details captured in the Order UDFs.

Following are the E-mail notification types on which the Order UDFs info can be included:

  • Booking Line Availability Request

  • Booking Line Confirmation Request

  • Booking Line Send Message

  • Job Information

Option to include UDF info in notifications is available only for the notifications sent out as E-mail Notifications. It is not applicable for the notifications sent to Crew Portal App.

Pre-requisites#1: UDF definitions are created for an Order

Pre-requisites#3: E-mail Templates created with #tags to include the UDF info in E-mail Notifications

  1. Go to R2labor Settings, click Web Labor Settings, and then click E-mail Templates.

  2. Select the e-mail template from the template list and click the template link.

  3. In Edit template, click select tag field.

  4. In the # tag list, an Order UDF separator is introduced where in all the order UDFs created in R2 lists here.

  5. Go to the content of the e-mail template and choose the tags that are listed under the separator Order UDF and click Apply. The selected #tags displays in the content part.

  • R2 Order UDFs as well as Planning Order UDFs can be included in the e-mail template .

  • UDFs in one system environment may not be same as another system environment. They must be independently setup. E-mail templates created on a test system with a set of UDFs cannot be ported to another system since the UDF references will be different between the system. Hence the templates to be configured in every environment separately.

The below sample workflow(s) shows that Booking Availability Request notification being sent to the Resource through the Planning Order window. Similarly, the UDFs displays in E-mail notifications by rest all the windows.

Sample Workflow: Send Availability Request displays Order UDF values

  1.  Open the Order in Planning Order.

  1. Select the Booking line and click Send Availability Request icon in the floating bar.

  1. Send Availability window displays in the sidebar, add the Recipients, and then click the Send icon. The Preview displays the R2 Order UDFs with their values.

  1. A status message “E-mail Scheduled Will Be Delivered On Save” is displayed, click Save to send the E-mail to the Recipients.

  2. The Notification E-mail gets triggered to the addressed E-mail ID of the Resource. The R2 Order UDF fields and their values displays as below.

If the Value of any Order UDF is blank, then it shows blank in the Notifications E-mails.
