Order Fill

The Order Fill dialog is used to record how each item on an order is filled - including item exchanges and additions. The buttons located along the left side of the Order Fill dialog provide access to the order fill functions. Toolbar icons at the top of the window are shortcuts to miscellaneous functions. Below the toolbar are fields that display the order and customer information. Items on the order are listed in the grid below the order and customer information.
How to access Order Fill
Warehouse > View > Order Fill > Search for Orders > Double click on Warehouse Prep task.
Fill Orders button > Search for orders > Edit.
Warehouse > Search Orders > search for the order > click on Fill Orders icon.
Icon Information
Icons | Description |
![]() | The Find icon opens the Find window from which you can conduct a search for items within the order being filled. |
![]() | The Pick List icon opens the Pick List window from where items on the order can be printed. |
![]() | The Refresh icon updates t he data shown within the Order Fill dialog to reflect changes made since the dialog was opened. |

![]() | The Filter By icon opens the Filter By window from where you can filter the unfilled items by setting various filters. |
![]() | The Zoom In / Out icon hides the header information area so that you can get a larger view of the data grid. |
![]() | The Print Sub-Tag icon prints information for sub-rented items on the open order. |
![]() | The Print Ship Tag icon prints the Order ID, Delivery and Pick Up dates and times, event Location, Client name and event Booth #. |
![]() | The Print Filled icon prints a list of all filled items on the open order. |
![]() | The Print Order icon displays the Form Type Options window from where the fill order can be printed. |
![]() | The Print Exception icon prints a list of unusual actions performed while filling an order - such as item additions, deletions and exchanges or returning items from another order. |
![]() | The View Kit Details icon opens the Kit Details window where the details of the items in serial (locked) kits can be viewed. |
![]() | Use the Expand/Collapse icon helps us to view the status of all the assets for a particular order. This feature allows you to view the child items of a Kit which are marked as Ship mandatory. |
![]() | The View Kit Mandatory Details displays all the mandatory items belonging to the kit. |
![]() | Clicking on the Ship Filled icon will dispatch the item on the order. The item line will disappear from the window and will be displayed only when the Filled And Out checkbox is selected and Refresh icon clicked. |

![]() | You can view the changes made to the items in the order in the Warehouse by clicking on the Warehouse Order History. |
![]() | You can click on the View Exceptions icon to view and print the exceptions that are generated for Fill Order, Return Order, Transfer Order and Ship Orders. By default the Fill checkbox will be selected in the Exception Detail window. |
Field Information

Field Name | Description |
Contract Number | Displays the unique identification number of the order. |
Description | Displays the description of the order. |
Customer | Displays the customer for whom the order is being created. |
Address | Address of the customer. |
Prep | The prep date in the order header. |
Ship | The ship date in the order header. |
Return | The return date in the order header. |
Assigned To | Displays the employee's name to whom the order is assigned. |
Sales person | Displays the salesperson's name for the order. |
Location | The location that is defined in the Shipping tab of the order |
Comments | Pick list and delivery comments given for the order can be viewed here. You can also give comments by clicking on the importable button which will display an Comments dialog box where you can refresh, add and edit Comments. |
Filter By Options

Field Name | Description |
Date and Apply Date | When opened from the Fill Order window, the dates field will be blank. On selecting Apply Date check box, the order prep and return dates and time will be displayed in the fields. You can select a date range in the drop down calendars. Depending on the selection, all the items that have the prep dates within the selected date range will be displayed.

Deleted | Selecting this check box and then clicking the Refresh button will filter the deleted items on the order. |
Filled & Out | Selecting this check box and then clicking on the Refresh button will filter the items of the order which have already been filled and shipped. |

Button Information
Button Name | Function |
Fill Items | The Fill Items button opens the Fill Items dialog Scan the item's bar code or enter the item's asset ID manually. |
Receive Fill | Use this function to fill an item that does not yet exist in inventory but for which there is an existing Product Id. The Receive Fill button access the Receive Inventory dialog where you can enter new assets for serial items needed to fill this order. This option is available only for Serial items having not available or reserved status. For example, your order requires three of a particular monitor, but only two are available in inventory. To fill the third monitor, you need to receive it first. This function lets you receive the monitor into inventory without exiting the Order Fill dialog. |
Un Fill | The Un Fill function lets you correct fill mistakes. To use, highlight the incorrectly filled item line and click on Un Fill. |
Add items | This button opens the standard Items search dialog from which you can search for and select Items, sub-category items and Kits and add them to the order in the Order Fill Window. |
Exchange | The Exchange button allows to exchange an not available item with another available item. Clicking this button opens an Item dialog box where we can select the item from the displayed item list with which you want to exchange the item of the order. The exchange can be done only when the items in the Order is in the Not Available status and it works only if the selected item is assigned to an Exchange Group. Note: You can only select same type of items i.e If an item is serial, for exchange we can only select serial items and vise versa. |
S-Fill | Use this button to fill Sub-rented items. To S-Fill an item, highlight the item line and click on S-Fill. |
Delete | Use this button to delete items added during this Order Fill session. To do this, highlight the item, then click on Delete. Note: You can only delete items from the Ship Order window if that item was added during the current session. You cannot delete items that were added through the order window. |
Assets | This function button lets you view the details of Serial Assets for a product. To do this, highlight the item line then click on Assets. The Assets dialog will appear. |
Fill All | Use this function to fill all the items on the Order, in a single step.. Note: You may use the Fill All/ return All option in Configuration module to remove the Fill All button from the Order Fill dialog. You may also use Security to limit employee access to this option. Fill Filtered | Use this function to fill Only the filtered items. See Order Fill Window |
Read Data | Use this function to read data from a batch scanner such as the Symbol PDT3100 or Symbol P360. To use this feature, place the scanner in its cradle and click on the Read Data function button. This opens the Read Data dialog where you select a Port , Status and configure, then click on Read Data. |
Read File | Use this function to import information previously scanned from a batch scanner and stored as an electronic file. Know more? |
Sort | The Sort button opens the Sort window where you can define how R2 will list the search results. The first field of the Sort section lists the field types. The second field allows you to choose either the ascending or descending option or no particular order at all. You can set priorities for sorting by dragging the Fields.
If None is selected then no particular sorting order will be applied at all. |
Pick Assets | Clicking this button displays the Assign window where the assets of an item can be filled. The Pick Assets button only when the status of the item is Reserved. |
Swap | Serial Items in Return order can be exchanged with other assets using the Swap functionality. |
Expand All | Use the Expand All button to view and hide items included in a kit. More... |
Parts | This button opens the standard Parts search dialog from which you can search and select parts to the order. |
View PO | You can select a P-Assigned line and click View PO to open the purchase order that was created for the item. |
Close | Click on the Close button to exit from the window after saving all the changes made. |
Columns in Order Fill

C | If any comment is defined for an order then you will view a check mark for this column. |
Status | Status of the item. |
Action | The action defined for the item. |
Product ID | The unique identification number of the product. |
Asset ID | The unique identification number of the asset. |
Description | The description of the product. |
Ordered | The number of items that are ordered. |
Filled | The number of items that are filled. |
Container ID | The unique identification number of a container. |
PO/Transfer ID | The unique identification number of the Purchase Order or Transfer order. |
Vendor/Site | Displays the vendor name for Sub-rental and Purchase order items,and site name for the Transfer Order items. |
