Change In Scanning the Missing and Lost Asset

Prior to Version 06.00.04-00

The Auto Return Missing / Lost check box in the Configuration module > Warehouse tab, was displaying as shown in the Figure 1.0.

With Effect from Version 06.00.04-00

The Auto Return Missing/Lost check box in the Configuration module > Warehouse tab, is now modified to Auto Return Missing/Lost on Scan with a suboption Prompt and proceed check box. Also, a new check box Allow Return Missing/Lost with the suboption Prompt and proceed check box has been introduced, as shown in the Figure 2.0.

The system displays prompts with the messages as shown in Table 2.0, when you Auto Return the Serial Items or the Non-Serial Items based on the selection of Allow Return Missing/Lost and Auto Return Missing/Lost on Scan check boxes in the Configuration module > Warehouse tab, as shown in Figure 2.0.

NOTE: The Auto Return Missing / Lost on Scan check box is supported only for the Serial Items on Scan.

 

NOTE: The Allow Return Missing / Lost check box is supported for both Serial and Non-Serial Items on Select and Return in the Return Order window.

When you Scan and Return a Serial Asset that is marked as Lost displays the below prompt with the message "Some Missing/Lost lines found."

 

Not compatible for Non-Serial Items

When you select and Return a Serial Asset that is marked as Missing displays the below prompt with the message   "Some Missing/Lost lines found."

 

When you select and Return a Non-Serial Item that is marked as Missing displays the below prompt with the message  "Some Missing/Lost lines found."

 

 

Read File Operation for Serial Items:

For the Serial Items, when the Prompt and proceed sub option check box in the Configuration is selected, the Read File button in the Return Order window is non operative and does not modify the Status of the Lost and Missing Serial Items to Returned.

Read File Operation for Non-Serial Items:

The Read File return for Non-Serial Item with Lost or Missing Status is not supported.

When you Scan and Return a Serial Asset that is marked as Lost or Missing does not display any prompt but returns the Asset displaying the message "Item Returned successfully" in the Status bar.

 

When you Select and Return a Serial Asset that is marked as  Lost or Missing does not display any prompt but returns the Asset marking the line Status of the Asset as Returned.

When you select and Return a Non-Serial Item that is marked as  Lost or Missing does not display any prompt but returns the Non-Serial Item marking the line Status of the Non-Serial Item as Returned.

Read File Operation for Serial Items:

For the Serial Items, when the Prompt and proceed suboption check box in the Configuration is not selected,  the Read File button in the Return Order window returns the  Lost or Missing Serial Item marking the line Status of the Serial Items as Returned.

 

Read File Operation for Non-Serial Items:

The Read File return for Non-Serial Item with Lost or Missing Status is not supported.

When you Scan and Return a Serial Asset that is marked as Lost or Missing displays the below prompt with the message "Scanned Asset is Missing/Lost. Do you want to return?"

Not compatible for Non-Serial Items

Not compatible for Serial Items

 

Not compatible for Non-Serial Items

 

 

The above mentioned combinations have been explained with the Sample Workflow below.

Scenario I

Prerequisites

  1. Select the Configuration module > Warehouse tab.

  2. Select the Auto Return Missing / Lost on Scan check box with the suboption Prompt and proceed check box and the Allow Return Missing / Lost check box with the suboption Prompt and proceed check box.

The Auto Return Missing / Lost on Scan check box is supported only for the Serial Items on Scan. The Allow Return Missing / Lost check box is supported for both Serial and Non-Serial Items on Select and Return Missing / Lost  Item in the Return Order window.

  1. Save and Exit the Configuration module.

  2. Relaunch the R2 application.

  3. Select the Maintenance module > Items tab.

  4. Create Serial Items [PHOTOSHOP], [DREAMWEAVER], and [ILLUSTRATOR] with 10 Qty each.

  5. Create Non-Serial Items [CAPTIVATE] and [INDESIGN] with 10 Qty each.

  6. Save and Exit the Maintenance module.

Sample Work Flow

  1. Select the Account module > tag a Company [ADOBE].

  2. Create a Rental Reservation Order [ORD-1161].

  3. Search and add the Serial Items [PHOTOSHOP] and [DREAMWEAVER] with 3 Qty each along with the Unit Price [300.00].

  4. Search and add the Non-Serial Item [CAPTIVATE] with 3 Qty each and the Unit Price [300.00].

  1. Click the Fill And Ship All icon to Fill and Ship the Items in the Order [ORD-1161].

  2. The Status of all the Items is modified to Out.

  3. Select the View menu > Return Order option. The Return Order [ORD-1161 Return Order] window is displayed, as shown in Figure 2.1.

  1. Select the Serial Item [DREAMWEAVER] with the Asset [DREAMWEAVER-11] and click the Lost button. The Remarks window is displayed.

  2. Enter the Remarks [Marking the Asset as Lost] and click the Close button. The Asset [DREAMWEAVER-11] Status is displayed as Lost, as shown in Figure 2.2.

  3. Select the Serial Item [PHOTOSHOP] with the Asset [PHOTOSHOP-22] and click the Missing button. The Asset [PHOTOSHOP-22] Status is displayed as Missing, as shown in Figure 2.2.

  1. Select the Serial Item [DREAMWEAVER] with the Asset [DREAMWEAVER-11] and click the Scan Items button. The Return Items window is displayed.

  2. Enter the Asset [DREAMWEAVER-11] in the Enter ID field and press the Enter button from the keyboard.

  3. The system displays a prompt with the message "Asset DREAMWEAVER-11 is Lost on Order ORD-1161- Auto Return Missing / Lost - ADOBE" with Mark as IN and Do Nothing buttons, as shown in Figure 2.3.

  1. Click the Do Nothing button. The system displays a message in the Return Items window as "This Item is LOST, mark it as In to use" as shown in Figure 2.4.

  1. Click the Mark As IN button. The system displays a message in the Return Items window as "Item returned successfully" as shown in Figure 2.5.

  1. Click the Close button in the Return Items window.

  2. Click the Refresh icon. The Asset [DREAMWEAVER-11] Status is modified to Returned, as shown in Figure 2.6.

  1. Select the Serial Item [PHOTOSHOP] with the Asset [PHOTOSHOP-22] and click the Return button. The system displays a prompt with the message "Some Missing/Lost Lines found." with Return Missing/Lost Assets and Do Nothing buttons, as shown in Figure 2.7.

  1. Click the Do Nothing button. The Asset [PHOTOSHOP-22] Status will remain to display as Missing.

  2. Click the Yes button. The Asset [PHOTOSHOP-22] Status will be modified to display as Returned, as shown in Figure 2.8.

  1. Select the Non-Serial Item [CAPTIVATE] and click the Missing button. Enter the Quantity [1] and click OK. The Item is marked as Missing, as shown in Figure 2.9.

  1. Select the Non-Serial Item [CAPTIVATE] and click the Return button. The system displays a prompt with the message"Some Missing/Lost Lines found."  with Return Missing/Lost Assets and Do Nothing buttons, as shown in Figure 2.10.

  1. Click the Do Nothing button. The Non-Serial Item [CAPTIVATE] Status will remain to display as Missing.

  2. Click the Return Missing/Lost Assets button. The Non-Serial Item [CAPTIVATE] Status will be modified to display as Returned, as shown in Figure 2.11.

Scenario II

Prerequisites

  1. Select the Configuration module > Warehouse tab.

  2. Select the Auto Return Missing/Lost on Scan check box and do not select the suboption Prompt and proceed check box. Select the Allow Return Missing/Lost check box and do not select sub option Prompt and proceed check box, as shown in Figure 3.0

  1. Save and Exit the Configuration module.

  2. Relaunch the R2 application.

  3. Select the Maintenance module > Items tab.

  4. Create Serial Items [PHOTOSHOP], [DREAMWEAVER], and [ILLUSTRATOR] with 10 Qty each.

  5. Create Non-Serial Items [CAPTIVATE] and [INDESIGN] with 10 Qty each.

  6. Save and Exit the Maintenance module.

Sample Work Flow

  1. Select the Account module > tag a Company [ADOBE].

  2. Create a Rental Reservation Order [ORD-1161].

  3. Search and add the Serial Items [PHOTOSHOP] and [DREAMWEAVER] with 3 Qty each along with the Unit Price [300.00].

  1. Select the Serial Item [DREAMWEAVER] with the Asset [DREAMWEAVER-11] and click the Lost button. The Remarks window is displayed.

  2. Enter the Remarks [Marking the Asset as Lost] and click the Close button. The Asset [DREAMWEAVER-11] Status is displayed as Lost, as shown in Figure 4.0.

  3. Select the Serial Item [PHOTOSHOP] with the Asset [PHOTOSHOP-22] and click the Missing button. The Asset [PHOTOSHOP-22] Status is displayed as Missing, as shown in Figure 4.0.

  1. Create a Read me [AdobeAssets.txt] file by entering the Asset IDs [DREAMWEAVER-11] and [PHOTOSHOP-22].

  2. In the Return Order [ORD-1161 Return Order] window, click the Read File button. The Read File window is displayed.

  3. Click the Select File importable button. The Scan Data File Location window is displayed. Select the Read me [AdobeAssets.txt] file, as shown in Figure 4.1.

  1. Click Open, the file gets selected in the Read File window. Click the Read File button. The system displays a prompt with the message "Do you want to Load Data" with Yes and No buttons.

  2. Click Yes and close the Read File window. No prompt is displayed.

  3. Click the Refresh icon in the Return Order [ORD-1161 Return Order]. The Status of the Asset IDs [DREAMWEAVER-11] and [PHOTOSHOP-22] is modified to Returned, as shown in Figure 4.2.

The Read File operation is supported only for Serial Items and not for the Non-Serial Items.

  1. The above operations are supported for the Batch Returns.

  2. The Lost and Missing scan operations are not supported for Warehouse > View menu > Return sub-menu > Batch Returns option > Batch Returns window > Detail option.

  3. The scanning of the Lost and Missing Assets are not supported in the Intelligent Returns window.

  4. All the options in the Prompts can be secured and are Multi Language supported.
