Overdue duration for item
By default, if items are not returned on due date, then availability of the item will be affected to eternity that is up to 2100. If user does not want availability of the items to be affected till eternity then option has been provided to set the duration till when it has to be affected. This is known as overdue duration.
In Configuration module, option is provided to set overdue duration. Value entered here will be considered for duration for which the availability of the item has to be affected.
If the value set for overdue duration is 10 that is for 10 days, then it will be reflected as explained below.
Item TV is added on Order#1 from 1st April 2006 to 10th April 2006. During 1st April 2006 to 10th April 2006, item status will be out on order and not available. Item TV is not returned on 10th April 2006. Conflict is generated on 15th April 2006. Then a Negative conflict will be generated for Order#1.
On checking the status of item in Order#1, it will be displayed to be overdue. If will marked as not available till 20th April 2006 considering the overdue duration from the return date in the order. From 20th April 2006 onwards item will be displayed as available.
If the asset has to be marked as not available for further duration, this can be achieved by generating conflicts again on 20th April 2006. On generating conflicts on 20th or any date after 20th, availability of the asset will be not available from 20th to 30th. After 30th it will be again marked as available.
Return date of the item lines can be changed using Change Dates for All Lines or Selected Lines. On doing so, R2 will check the status of the item line. If it is overdue, and if the return date is greater than the current system date status of the item will be changed to Out. After the return date, item will be marked as available.
Example Scenario
We do not have a grace period, however we can define the period that R2 sees the Equipment as not available via the Overdue Duration setting in the Configuration Module.
If the Overdue Duration is blank(Null) then R2 will assume that the equipment is not available till the end of time, however if you set this to let’s say 3 days, then R2 will only block the equipment as Not Available for three days and show it as being available after that.
Every time the Conflicts are run this will look at the overdue duration and push the availability out based on the setting, the conflicts are run every night as part of the backup process but can also be re-run anytime from the conflicts screen in the warehouse module.
