Prerequisites

Select the Maintenance module > Items tab > click the New icon.

Create a Serial Item [JACK PLANER] comprising of the five Assets [JACK PLANER#01], [JACK PLANER#02], [JACK PLANER#03], [JACK PLANER#04], and [JACK PLANER#05].

Save and Exit the Maintenance module.
Sample Workflow
Creating a Service Work Order by Damaging an Asset from Order
-
Select the Account module. The Account window is displayed.
-
Tag a Company [EVERGREEN AV RENTALS].
-
Click the Reservation icon. The Order Information dialog box is displayed.
-
Create a Rental Reservation Order [ORD-02] for 2 days duration.
-
Add the Serial Item [JACK PLANER] with Unit Price [200.00].
-
Click the Fill And Ship All icon to Fill and Ship the Serial Item [JACK PLANER]. The Serial Item [JACK PLANER] comprising of the Asset [JACK PLANER#01] is in the Status [Out], as shown in Figure 1.0.

Select View > Return Order. The Return Order [ORD-02 Return Order] window is displayed.

Select the Serial Item [JACK PLANER] comprising of the Asset [JACK PLANER#01] and click the Damaged button. The Mark Damaged dialog box is displayed.

Select the Return To Inventory and Create Service Work Order check boxes and click OK. The Remarks window is displayed.

Enter the Comments [JACK PLANER#01 Damaged - Requires Service] and click the Close button. The system displays the dialog box with the "Service Work Order Created:SWO-02" as shown in Figure 1.1.

Click OK.

The Service Work Order [SWO-02] is created for the Asset [JACK PLANER#01].

The Serial Item [JACK PLANER] comprising of the Asset [JACK PLANER#01] will have the following statuses -
-
The line status of the item in the associated Order will be [Repair].
-
The Item's Status in Maintenance > Item Edit will be [IN].
-
And its Service Status in Maintenance > Item Edit will be [Needs Service].

Click Close. The Close prompt is displayed with the message "Found Damaged Items. Do you want to print the Damage Receipt?" with Yes and No buttons.

Click No.
-
Exit the Order [ORD-02].

Select the Service module and open the Service Work Order [SWO-02].
-
The Service Work Order [SWO-02] is displayed in Estimate Status, as shown in Figure 1.2.

Add another Serial Item [JACK PLANER] that is displayed is Status [RESERVED], as shown in Figure 1.2.

Exit the Service Work Order [SWO-02].
Creating Independent Service Work Order
Create Independent Service Work Order for Asset [JACK PLANER#01]

Select the Service module. The Service window is displayed.
-
Click the WorkOrder icon to create a Service Work Order.
-
Click the Customer importable button and tag the Customer [EVERGREEN AV RENTALS] and click Save.
-
The Service Work Order [SWO-03] with the Status drop-down displayed as Estimate is created.
-
Select the Equipment tab. Click the Asset ID / Product ID importable button. The Search Assets / Non Serial Items window is displayed.
-
Search and tag the Asset [JACK PLANER#01]. The Service Type window is displayed.
-
Select the Service Type [Corrective] and click OK. The Service Work Order [SWO-03] for the Asset [JACK PLANER#01] is displayed, as shown in Figure 2.0.

Search and add the Item [JACK PLANER]. The Item is Reserved to the Service Work Order [SWO-03].

Save and Exit the Service Work Order [SWO-03] window.

The Asset [JACK PLANER#01] comprises of two Service Work Orders [SWO-02] and [SWO-03].
Create Independent Service Work Order for Asset [JACK PLANER#02]

From the Service window, click the WorkOrder icon to create a Service Work Order.

Click the Customer importable button and tag the Customer [EVERGREEN AV RENTALS] and click Save. The Service Work Order [SWO-04] is created.

Select the Equipment tab. Click the Asset ID / Product ID importable button. The Search Assets / Non Serial Items window is displayed.
-
Search and tag the Asset [JACK PLANER#02]. The Service Type window is displayed.
-
Select the Service Type [Corrective] and click OK. The Service Work Order [SWO-04] for the for the Asset [JACK PLANER#02] is displayed, as shown in Figure 2.1.

Modify the Service Work Order [SWO-04] Status drop-down to Scheduled.

Search and add the Item [JACK PLANER].
-
Click the Ship icon. The Fill Items dialog box is displayed.
-
Enter the Asset [JACK PLANER#03] and press Enter using the Keyboard.
-
The Asset [JACK PLANER#03] is Shipped and the Status of the Item [JACK PLANER] is modified to Sold, as shown in 2.2.

Save and Exit the Service Work Order [SWO-04] window.
